10.0. Multiple Running Number Setup

How do I setup Multiple Running Number Series?

This is useful if you need more than one set of running number series.
Let’s say if you have 2 sales departments, each needed to have their own set of running numbers, you can create them as follows.


STEPS:
  1. Click SETUP activity
  2. Click COMPANY DETAILS
  3. Click Running No module
  4. Select QUOTATION
  5. Click DUPLICATE
    1. This is to create another set of running number series for Quotation.
    2. We can duplicate the existing Quotation Running No. instead of starting new.
  6. NAME 
    1. Give a meaningful name.
    2. You can set the name as Dept A and the other as Dept B for example.
  7. FORMAT
    1. Format is the system Formula of the running number. Formula is within square brackets [ and ]
    2. Anything outside these square brackets is ignored.
    3. Formula:
    4. [0000] = 4 digits running nos.
    5. [000000] = 6 digits running nos.
    6. [YY] = display year in 2 digits, e.g. 11
    7. [YYYY] = display year in 4 digits e.g. 2011
    8. [MM] = display month in 2 digits, e.g. 08
    9. [DD] = display date in 2 digits, e.g. 31
    10. [UU] = display User ID in 2 digits, e.g. SJ
      1. Note Alpha formula must be in Caps
      2. To see if you have set the formulae correctly, see EXAMPLE field below NEXT NUMBER.
  8. NEXT NUMBER 
    1. Set the series formula and the next running number.
    2. Note that this series not necessary to be the same as the other series; it can be of a totally different format.
  9. Click ADD
  10. Close the module 
    1. This is to save your changes.
