Check Creator and Updater at Properties tab
The Created Date, Created By, Updated Date, and Updated By fields provide clear traceability for each document. These details, found in the Properties tab of all transactional documents (e.g., Quotations, Invoices), support audit requirements by showing who created or amended a document and when. This enhances accountability, ensures data integrity, and helps track changes efficiently, making it easier to resolve discrepancies or investigate issues.

STEPS:
- Go to SALES activity
- Click QUOATION module
- Click NEW
- PROPERTIES tab
Note that all transactional documents (eg. Quotation, Invoices, etc.) have a properties tab
For audit purpose, every document created and amended will be recorded. - CREATED DATE
- CREATED BY
This record the date and time user have newly created the documents.
- LAST UPDATED DATE
- LAST UPDATED BY
This records who and when amendments were made.
The REFERENCE 1–5 fields offer flexibility to capture additional project-specific information that may not fit standard fields. They are useful for internal tracking or custom project needs. While not shown in standard documents or printouts, they can be included in customized printouts if required (subject to an administrative fee). The COMMENT field is intended for internal notes, such as reasons for amendments, providing context and clarity without affecting the document’s external presentation. Both features enhance internal documentation and workflow clarity.

- Go to PURCHASE activity
- Click PAYMENT module
- Select any document
- Click EDIT
- Click Properties Tab

These are custom fields catered for customized projects use.
You may use them to enter additional information, however it will not be displayed or printout in standard document.
Customized printout of the fields’ information can be created. Administrative fee applicable. - COMMENT
This is meant for your internal use. Example you may like to record the reason of amends pertaining to this document.
This will not be displayed or printout anywhere.
