When comparing the Trial Balance values against Ageing, we are looking at the Trade Debtor/Creditor accounts.
Ageing Report
In order for the report to generate values, the Trade Debtor/Creditor accounts needs to have the following information.
'Who' , 'How much' , 'How long'
'Who' this is the Business Partner. the Trade Debtor/Creditor account needs to have a BP. So that the system can identify
who owes your or who you owe.
'How much' this is the document, with the document you will know the values of what is owed.
'How long' this is also the document, the document has a due date.
when you use the AP/AP modules these information is required. you cannot complete the transaction without specifying those information.
Journal Entry Module
The JE allows you to create entries into the GL.
The module does not have a lot of restriction as it is meant for advance usage.
In JE you can directly affect the Trade Debtor/Creditor without the 'Who','How long'.
This is where the difference between GL values and Ageing value start.
The first step is to identify the transactions. (the example will be base on the Trade Debtor)
Step 1.
Using the GL module.
Select the date filter to Balance.
Select the account filter to Trade Debtor account
Select the Document type filter to only Journal Entry.
the documents that appear are the documents where the Trade Debtor account is affected.
Next go through the entries. Verify that each entry that affects the Trade Debtor account has the required information specified.
Step 2.
Edit the JE.
AT the Trade Debtor account entry, verify the following.
Business Partner is selected.
Type has a value.
Document has a value.
If all three columns have values the entry has been done correctly.
Please note there maybe multiple entries affecting the Trade Debtor account in the document, check each row.
