3.0. Using The CRM

Creating A Campaign


What is a Campaign?
A campaign is a strategically organised course of actions to promote and sell a product, service or brand.  This can include digital ads, social media posts, email marketing, and television commercials, with the goal of increasing sales or brand awareness.

STEPS:
  1. Click CRM > CAMPAIGN
    Your pre existing list of campaigns are displayed.
  2. Click NEW to create.

  1. Fill up the fields with the necessary information.

    Code - Serves as an identifier for the system.
    Enter a unique Alphanumeric, preferable with a counter numbering.  (e.g. YYMMDD) 
    Name - Enter a name for the campaign.
    Description - Provide a more detail description about the campaign.
    Type - As per setup in Campaign Type, select the appropriate type.
    Date Start and Date End - Enter the period the campaign is running.
    Budget Cost and Actual Cost - This is the cost of running the campaign.
    Target Sales and Actual Sales - This your expectation and outcome of the campaign in amount sales.
    Targetted No. and No. of Response - This your expectation and outcome of the campaign in quantity.

  2. Click ADD to save


Recording A Lead



What is a Lead?
A Sales lead also refers to the data that identifies an entity as a potential buyer of a product or service. Businesses gain access to sales leads through advertising, trade shows, direct mailings, third parties, and other marketing efforts.

STEPS:
  1. Click CRM > LEADS
    Your list of leads are displayed.
  2. Click NEW to create.

  1. Fill in the appropriate details:

    Name - Give a descriptive name for the lead 
    Date - The date where the lead is received
    Company - Select the company the lead is created for

  2. Salesperson - Select salesperson assigned to this lead accordingly. 
    If this is for a new salesperson, you can create one by:
    - Right Click
    - Select Open
    - The Employee Registration setup will appear

  3. If this is for a new company, you can create a new company by:
  4. Right Click  
  5. Select Open 
  6. The Business Partner Registration setup window will appear
  7. Create a new company and close the window once done


    AlertSTEPS:
    1. Fill in the appropriate details:

      Status - Enter the stage this lead is in during creation.  From time to time, you will have to update this accordingly during subsequent stages.
      Address - Select the appropriate address.  The list is based on your setup at The Business Partner Registration.
      Campaign - If this lead is generated from a campaign, select the  appropriate one.  Otherwise, you can leave this field empty.


    AlertSTEPS:
    1. Fill in the appropriate details:

      Deal Size - Enter the potential deal amount
      Chance (%) - Estimation of the chance of the deal closing
      Close Date - Expected the deal to close in date
      Is Closed - Tick on this box only when the lead is already closed and no need for monitoring.


    AlertSTEPS:

    1. Fill in the appropriate details:

      Notes - Notes are for you jot down the status of lead as it progresses.  You can enter an unlimited number of rows.
      Date - Select the date that the note is taken
      Employee - Select the Employee name that has taken or performed on this note
      Contact Person - Enter the name of the person you have contacted
      Description - Provide a brief description of the note
      Created Date and Created by - These fields are automatically recorded by the system.  Create by is based on the person who has login into the system.
      Type - As per setup in Notes Type, you can select accordingly
      If you would like to create a new Type, you may do so by:
      1. Right Click  
      2. Open 
      3. Create New 


    AlertSTEPS:
    1. Fill in the appropriate details:

    2. Task - The task is for you to set a reminder and any follow-up actions required.
    3. Date - Enter a task recorded date 
    4. Description - Provide a description for the task
    5. Due Date - Set a due date for the task 
    6. Task to (employee) - Select the staff assigned for the task 
    7. Closed - Tick only when this task has been performed and does not need further monitoring. 
    8. Created by - This field will be automatically updated by the system.  Created by is based on the person who login in the system and has created this task.

    9. Click ADD to save your entry or this newly created Lead.





    Task List



    Task List displays all the outstanding tasks yet to be performed.

    1. Click CRM > TASK LIST 
    2. List of outstanding tasks are displayed 


    AlertSTEPS:
    1. Show Closed Task - Tick If you would like to view past tasks that have been performed.

    1. Click CRM > REPORTS

    1. Enter criteria of your report:

      Date range for the search 
      Leads Name
      Remark
      Note
      Task - You may enter a keyword for the  search

    1. This allows you to narrow down to the specific search:

      Business Partner
      Campaign
      Lead Status
      Employee

    A PDF Lead Last Updated Date Report generated on the screen.
